Check the box next to a student’s name in Aspen. Click on the Documents tab on the left hand side of the screen. Click on the IEPs tab. Find the IEP that is labelled Active and click the blue LASID numbers to get to the entire IEP. You can then navigate the different parts of the entire IEP using the tabs near the top of the screen.

Here’s a simplified workflow on account creation at Chelsea Public Schools.

Parents and guardians, want Aspen to automatically notify you by email when an attendance record is added for your student, and/or when a grade below a particular threshold is added for your student? You can set this up in Aspen very easily. See below:

Common grade posting errors include: Posting empty post columns by not updating post columns in Aspen before posting grades. Be sure to follow posting instructions correctly to avoid this error. Not giving your mentor students grades. Remember that mentor students show up in a different grade book, so be sure to give all mentor students grades by completing grade posting steps in all of your gradebooks in Aspen. Not giving ending courses a final grade (in addition to a quarter grade). Not completing grade posts on time. Please be sure to complete your grades correctly on time. The -10 attendance policy grade. The -10 grade is not a posting error per se, but not understanding it can cause confusion. Please be sure that you understand the -10 procedure by reading about it in the CHS Student Handbook. The I don’t really understand how extra credit works in Aspen error. CATEGORY WEIGHTS CAUTION! If you set your Aspen gradebook preferences to calculate term averages by weight, you must enter a weight for each category! Aspen’s gradebook category weight setup can be a bit confusing, so please be sure you understand how it handles its math business. Please be sure that you double check the category weights for each of your classes, as category weight settings have a profound effect upon your grade averages when your gradebook is set to calculate term averages by weight. It may be helpful to refer to the images below for an explanation on where/how to check on category weights. Are you using extra credit in Aspen and not seeing the numbers you expect? It may be that you are not familiar with the different flavors of extra credit in Aspen, as extra credit can be interpreted as an entire extra credit assignment OR as points available. Please see below for a better understanding of how extra credit is handled by Aspen: Extra credit-whole assignment Select this checkbox to treat this entire assignment as extra credit. Note: If you select this checkbox, do not enter a value in the Extra credit points field. Do only one of the following: Select the Extra credit-whole assignment checkbox to treat the entire assignment as extra credit; or Enter a value in the Extra credit points field to allow students to earn extra points, in addition to their earned points, for this assignment. Extra credit points Enter the number of extra credit points a student can earn for this assignment. A student can earn these points only; students are not penalized for extra credit points. Note: If you enter a value in this field, do not select the Extra credit checkbox. Do only one of the following: Select the Extra credit-whole assignment checkbox to treat the entire assignment as extra credit; or Enter a value in the Extra credit points field to allow students to earn extra points, in addition to their earned points, for this assignment.

Ever wondered if one of your students has attendance issues or E grades in another class, or if they excel in Geometry or if they struggle in English? As their teacher, you have access to much of this information in case it’s useful for you to support all your students. You can just start at the Student top tab, select a left menu item, and then scroll through your students with the arrows, or instead select a particular student from the student list. Here are a couple examples of commonly-requested information. See your students’ current grades. Caution… not all teacher gradebooks are necessarily up-to-date at all times. Be sure to check directly with a teacher if you notice missing or low grades for a student. See all your students’ transcripts. See all your students’ daily or class attendance.

If you are a staff member or a middle school student having trouble logging into Aspen, please contact Ms. Torres or Mr. Reyes. If you are a Chelsea High student having trouble with Aspen, please ask one of your teachers for your password if you have forgotten it. Should you need to request a grade change, please use the official grade change request form, and please be sure to completely fill out the pertinent information on the form. You must be logged in with your district Google account in order to successfully submit your grade change request. If this grade request involves an “-10” attendance penalty grade, the student should schedule an appointment with Mr. Carangelo, as this will require an unexcused absence discussion.

If your Aspen Conduct Referral workflow is missing from your Aspen homepage widget area, you should check to make sure that your tasks are checked on in your preferences. Click on your name at the top right of Aspen, go to your preferences, go to the home tab in preferences, and make sure there is a checkmark next to “tasks.” See image below:

If you log into Aspen and click the “Academics” top tap, you will see a list of your student’s current classes, teachers, and teacher email addresses. You can also contact your student’s teachers through the “Options” menu on this page by selecting “Send email.” This will pop open a dialog box with all of your student’s current teachers in an email. You can then either send an email to all of these teachers or you can remove teachers from the send list as desired.

Appropriate staff members can work with course requests in the school view by navigating to Student -> Schedule -> Requests. See below image for additional information. The date in the course requests area shows you what year is affected. Be sure you are NOT in “Entry mode.” If you ARE in entry mode, click the “exit entry mode” link to see a page resembling the image below. When you use the “Select…” button to add course requests, be sure to set your filter on the resulting screen to be all grade levels and the appropriate department. Otherwise you won’t see all of the available courses.

You can change much of the language used in Aspen to Spanish by changing your “locale” under your preferences. Log into your Aspen account, click on your name near the top right, and select “set preferences.” This will pop open a dialog box where you can change your “default locale” to be Spanish instead of English. See images below: After completing these steps, much of the text in Aspen should be displayed in your new “default locale” language.

There are 2 basic lengths of courses at CHS: semester and full year. Semester 1 courses end at the end of quarter 2 and require both quarter and final grades during quarter 2. Semester and full year courses end quarter 4 and require both quarter and final grades during quarter 4. STEP 1. Click on the Gradebook tab. Select a course by checking the box and then clicking the Scores side tab to open the grade-posting screen shown below (When posting window is open, pushpins will be green). STEP 2. Select Post Columns – Term in Grade Columns and select QT from the Term pick list. STEP 3. Update the QT grade column with the QT averages from your gradebook by completing the following steps: A. Click on the Update Post Columns button. B. When the Update Post Columns wizard opens, set Grade Term to appropriate QT, and set Grades to update to Term Grades for all students. Click the Next button at the bottom of the window C. Select Average: QT for QT Grade. Make sure that Final Grade is set to (Do Not Update). Click Next at the bottom of the window. D. Check Confirmation window to ensure you are importing the Average: QT grades to the QT grade column and Final Grade is set to (Do Not Update). Click Finish button at the bottom of the window. When the import is complete your Scores view should look like this, with current averages for each student in the QT column with the pushpin: STEP 4. Have Aspen calculate the Final course grade. To do this, click the Update Post Columns button again. STEP 5. The Update Post Columns: Select Columns window will pop up again. Choose appropriate QT from the Grade Term pick list and Term Grades for all students for Grades to update. Click Next. A. Choose District Calculation from the Final Grade pick list. BE SURE that Quarter Grade is set to (Do Not Update) B. Click Next again to get the Confirmation window. Make sure that your settings match this example EXACTLY. C. Click Finish and Aspen will calculate your Final grades using the current CHS grading policy. The calculated grades will appear in the FnlGrd column. Your gradebook should look like this: STEP 6. For students who entered class too late (such as after September 29th for quarter 1) to have sufficient opportunity to master the course material, replace the system-calculated QT grade with the grade symbol NG (No Grade) and the course FnlGrd with NC (No Credit) by double-clicking in the cell. In the example below, a student entered after September 29th, and is receiving an NG for her QT grade and an NC for the course FnlGrd. Students with NG grades should also be given Comment 400 – Newly enrolled in class – no grade given. STEP 7. If necessary, adjust any calculated grades by double-clicking in the cell and entering your adjusted numeric grade. Then enter your comments in the RC1,...

There are 2 basic lengths of courses at CHS: semester and full year. (Note: Double-check to be sure that Average: appropriate QT is selected, not a single category or assignment column). Click Next at the bottom of the window. Double-check the Confirmation window to ensure that you are updating the correct Quarter Grade column with the Average: QT grades from your gradebook. Click Finish at the bottom of the window. STEP 4. When the import is complete your Scores view will look like this, with current averages for each student in the QT column with the pushpin: STEP 5. For students who entered late and who didn’t have sufficient opportunity to master the course material, replace the system-calculated grades with the grade symbol NG (No Grade). Students with NG grades should also be given Comment 400 – Newly enrolled in class – no grade given. STEP 6. If necessary, adjust any calculated grades by double-clicking in the cell and entering your adjusted numeric grade. Then enter your comments in the RC1, RC2, and RC3 columns. (Remember, you can open the CHS comment code list any time by clicking in a comment column cell and typing CTL+L). STEP 7. Once everything is entered, you Post your grades. Posting moves your grades and comments from the Scores view of your gradebook to student transcript records in Aspen. Begin by clicking the Post Grades button: When the Post Grades window opens, check that the Class name and Grade Term are correct, and that Grades to Post is set to Term grades for all students. Click the OK button to post your grades. After you post, the pushpins in the Scores window will turn red. Make sure the Post Grades window says the correct QT and Term grades for all students. Click OK to post grades STEP 8. (Optional) If you change grades or comments for a class,...

STEP 1. Click on the Gradebook tab. Select a course by checking the box and then clicking the Scores side tab to open the Scores view shown below. If you don’t see the recommendation columns click Set Preferences on the Control Bar (look for your name close to where you would log off from Aspen). Then click on the Gradebook tab (in the Set Preferences window), and you’ll see the options below. Check the Show course selection recommendation box to make the columns appear, and uncheck the box to make them disappear. Hiding the columns does not affect the data in them – when you re-check the box, the columns reappear with your recommendations and text comments intact. Reopen your Scores view and you’ll see the Recommendation and Comment columns shown below. STEP 2. Click on the Recommendation tab. A dropdown appears with your department’s recommendation choices from the courses. Click on the course you want to assign to each student. You can change your recommendation at any time during the window, and you can remove the recommendation (as opposed to changing it) by changing it to the top option in the dropdown which appears as a blank. STEP 3. Once you enter a course assignment in the Recommendation column, the Comment field becomes active. If you’d like to enter a brief comment about the assignment for a student, click on the pencil and paper icon. STEP 4. The comment box will open and you can write a brief comment related to the assignment.  Please note, your comments will be public and open for parents and students to view. Yes! Yes you can! If you just need to see a student’s schedule, you can see any of your students’ schedules by going to your “Student” top tab, selecting a student, and then going to the “Schedule” side tab for that student. If you wish to print schedules for only one class or a group of students in a class, you can go to your Gradebook, pick a class, go to roster, select all the students whose schedules you would like to print, and then run the “CHS Student Schedules – Matrix…” report on the current selection (not running it on the current selection will do the entire school).

Whenever you see odd behavior with an online application like Aspen, Google Drive, Google Classroom, etc., it can often be fixed by clearing your browser’s cache. To do this on a Chromebook, you can hold down the ctrl + shift + backspace keys to pull up a dialog box allowing you to clear your browsing information. On the “Basic” tab, you want to change the time range to “All time” and start with the “Cached images and files” checkbox. That usually solves any problems related to cache, but if it doesn’t, you can try checking “Cookies and other site data,” as cookies can sometimes cause problems as well. If you’re not on a chromebook, you can usually clear cache in a browser on a Mac by holding down command + shift + delete, or on Windows with Ctrl + Shift + Delete. You can also try just hard refreshing the current page you’re on by holding down the ctrl, or shift, or cmd keys while clicking the reload/refresh option in the browser, but often it’s not enough to clear just one page and reloading/refreshing doesn’t always work well on a database, or form-backed page. All web browsers also have functionality to clear cache within their file system as well, so you can clear cache on any web browser through its menus as well. If you run a quick search engine search on your type of web browser and “clear cache” you’ll easily be able to find the instructions for any major web browser on Mac, Windows, or Linux.

If you want to match a special code to 40%, you can add a special code under “Tools” top tab and “Special Codes” side tab, and ensure that the behavior is set to “calculate as percentage” and the percent is set to “40” for that special code.

When a student withdraws from your class, their grades up until the withdrawal remain in your gradebook. Just change your status radio button to be on “Withdrawn” rather than on “Enrolled.”

As of the 2022-2023 school year, there are 2 basic lengths of courses at Chelsea High School: semester, and full year.

ELs who are at proficiency levels 1-3 take most of their core classes in the Bridge Academy (with some exceptions such as Algebra 2 or Chemistry, which do not have ELL sections).  Students who are levels 3-5 generally are in SEI (regular) content classes throughout their day.  And, of course, all CHS students take the same elective classes. There are roughly 500 students at CHS who are classified as English learners.  The success of our school depends on the growth and development of all of our students, and towards that end, here is some information about how to identify the ELs you work with in classrooms and other spaces. In Aspen, when you use the “default fields,” you will notice the field “CPSPrgm.” Most of the students are listed as RG which means “regular.” English learners will have the program EL.  This indicates that the students are still working toward English language proficiency (or a composite score of at least a 5 on the ACCESS test).  Please note that some of these students have been in the US for many years, but they started their educational careers in Chelsea as English learners and require continued language development support in order to attain proficiency.  All students with a program of EL will participate in ACCESS testing in the winter. The number in the “ESL” column indicates the student’s overall English language proficiency, anywhere from 1 to 5, and gives you a relative idea about the student’s language abilities and needs.  So a student who is EL -1 is probably a newcomer (1 signifies “entering”) and an EL- 5 is almost at grade-level in terms of language proficiency (5 = “bridging”).  There is not a specific cut-off point for students to move into regular classes; this decision is based on a combination of assessment data and teacher recommendation and may differ from one content area to another. The ESL level (1 to 5) generally aligns to the students’ most recent ACCESS test score.  However, in order to have more complete information about an individual student’s proficiency, it is useful to look at the four sub-scores (in Reading, Writing, Speaking, Listening), which are available in the Assessments tab in Aspen. You may find that a student is at 5 or higher in speaking or writing but is lower in reading or listening.  This information helps you know what specific support might be most needed.  The attached Can-Do Name Charts from WIDA would be one way to organize this information for you own students.  A final category of students to mention is FLEP (“former limited English proficient”). Their program is RG, with “ESL” labeled F1 or F2. These students are still developing their English, but their test scores and other factors have shown that they are ready to exit the ELL program with continued support from regular education teachers. Bridge will monitor these students, but we do not provide explicit support. The attendance posting page and other commonly-used listing pages default to 25 entries, but if you increase this number, you can make all of your enrolled students appear on one page so you don’t have to change pages to reach all students. To do so, click on your name in the upper right hand corner of Aspen and then click on “Set Preferences.” On the pop up, you can then easily change the “Records per page” on the “General” tab to be large enough for all of your enrolled students, so if you have 29 students in your largest class, setting this to 29 or more keeps all students for each class on one page:

Teachers are usually defaulted to “Staff” view, but if you need to add the same message to several students’ journal at the same time, you can batch this process by going to “School” view, finding the specific students, showing just those students, and then mass journaling to that list of students. Change to School View: Go to Student top tab in School View and choose the “Section =?” from the filter menu (looks like a martini glass), which will open a dialog box: For the section prompt, be sure to put in the course number, followed by a hypen, followed by the section number. This will look something like C123-01 where C123 is the course number and 01 is the specific course section you want. Submitting this will pull just the roster for that class. At this point you can further cut down the class by selecting and showing selected from the options menu. Finally, with your list of students you want to mass journal in place, choose “X2 mass-post to journal” from the Options menu, fill out the appropriate information, and submit.

Posting grades for summer school is typically a simpler process than for terms 1-4. For any Edgenuity courses, be sure that final grades are sent directly to the registrar to make sure these grades make it to the transcript. If for some reason you need to post grades for a summer school class, since summer school classes are Pass/Fail, you’ll want to have your final grades (FnlGrd column) be filled in with either P’s or F’s when you post; you don’t need to use the update post columns wizard. Just update your final grade post column with a P or an F and post your grades with the “post grades” button. For other summer school grading questions, or for clarification, please contact the staff member in charge of running the summer school program at your school.

Entering Progress Report Grades and Comments in Aspen is very similar to updating post columns and posting grades for the end of a term, so the procedure should look familiar to you if you have posted grades in Aspen. Go to the Scores area of a class and select “Post Columns – Progress” from the Grade Columns pick list and make sure that the correct term is selected in the term pick list. Update the current QT Progress Report grade column with your students’ current averages as follows: Once your QTxP (current quarter progress report grade) and PR (progress report comments) columns are updated, you can post them all with the Post Grades button. Simply follow the wizard to be sure that you are dealing with the proper quarter and that you are updating and posting progress (rather than term) grades to the transcript. As always, if you have any questions, contact your mentor, your department lead teacher, or the Director of School Data for assistance.

Students/families can always see their current grades in Aspen, and teachers can always generate progress reports for students in their classes at any time during the year. Teachers can tailor these progress reports to include various grading and attendance information, and they can add a message to generated progress reports. Progress reports can be created as pdfs, or… if one student is selected at a time, progress reports can be emailed to students and guardians. Other customizations from the dialog box include: Choosing a term or terms. Choosing category types to display or summaries. Only generating progress reports for students who meet a particular criterion. Example: average less than 70. The easiest way to become familiar with the gradebook progress report tool is to play around with it a little bit, generate a few progress reports to see what they look like, and then print/email when you’re happy with the information displayed.

Parents and guardians can view electronic (pdf) versions of Chelsea High School progress reports and report cards for a limited time (approximately 2 weeks) whenever these reports are published in Aspen. For example, if Quarter 1 progress reports are published on October 15, they would be available for viewing/downloading until about October 29. You can always save the pdf to keep for as long as you like. Whenever a report is published, we send an email to all parent/guardian emails in Aspen with instructions concerning how to access the report. To view the report, parents/guardians need to log into their family Aspen account and click on the report link in the “Published Reports” area. This is available from the initial page you see after logging into Aspen. See image below:

This is a brief overview of the major steps involved in creating the CHS schedule for the build (the next) school year. This process should begin basically after the current year is committed.

Student transcript listings default to the school year and to the current school’s template. In order to see ALL of a student’s transcript record, be sure to set your filter and dictionary menu to “ALL.”

Staff can see if their students’ parents are logging into Aspen by running the “Portal Use” report from the scores area of their gradebook. Just pick a class, go to scores, and then run the report from the reports menu.

Staff can see if any of their students have attendance issues in other classes by going to a particular class roster and running the “Andy – Class Attendance Problems List.” This report is in the “Andy Reports” folder under Aspen’s reports.

What is MyTrack? MyTrack is the name students picked for the Aspen student portal several years ago. There is ABSOLUTELY NO DIFFERENCE between Aspen and MyTrack aside from the type of user account used (student versus teacher versus administrator etc.). It’s better policy to simply refer to Aspen as Aspen at this point, since MyTrack references usually just lead to confusion. What is X2? X2 was the company that originally created Aspen. X2 sold Aspen to Follett, so X2 has nothing to do with Aspen now. Aspen is Aspen, not X2, so it is better policy to simply refer to Aspen as Aspen at this point. Does every student have a Aspen account? Yes. Freshmen use their existing accounts from middle school. Students enrolled in CHS last year use their existing accounts. Accounts for students transferring into CHS are created when they enroll, and are activated when they sign the standard technology use form that all students must sign. Do Aspen accounts expire? Aspen accounts expire on June 30th of the year the student graduates. Is a student’s Aspen username his/her last name and first initial? No. Aspen ensures that all usernames are unique, so except in a small number of cases, a student’s username is a combination of their first, last, and middle names, and may also contain numbers. Aspen usernames are the CPS Login ID minus the @chelseaschools.com. Is there a limit to the number of times a student can try to log on? Yes. If a student attempts to log on with an incorrect username or password five times, the system disables his/her account. Please encourage students to ask a teacher for their password if they forget it, rather than trying too many incorrect passwords and locking themselves out. What should students do if they disable their accounts or cannot request an email password reset through Aspen? If all else fails, students can request a password reset from the tech department. What if a student still can’t log on? Students having trouble logging on can request a password reset with the tech department.

Students can select elective courses (follow the link to see available elective courses) for the following year beginning with 8th grade… so 8th graders can select 9th grade courses for the upcoming school year, and 9th graders can select 10th grade courses for the upcoming year, etc. This takes place for grades 8-11, since 12th graders presumably will not need any more classes due to graduation. Students select courses by logging into Aspen and selecting the “My Info” top tab and the “Requests” side tab. Once on this page, when the window for course selection is open for the school year, students will see options for selecting primary and alternate courses. If they do not see this screen, be sure that the student is in “entry mode,” which can be toggled on and off. See image: Choosing one of the “Select” buttons will open up a window allowing students to select courses from the subject area to the right of the select button. The instruction area gives students information concerning how many courses they should select. Below the “Primary requests” section is the “Alternate requests” sections. The alternates are selections that may be used if the primary do not fit into a student’s schedule and the alternates should be ranked by the student to help us to determine the best possible substitution should this be necessary. The “Notes for counselor” are not required, but this text area offers an opportunity to provide any additional information a student may wish to convey to their guidance counselor. For example, if a student feels they have (or will have) completed a prerequisite for a particular course but Aspen does not allow them to select the course, this allows students to raise this point with guidance. Primary course selection shows the available courses for a student’s grade level. Alternate course selection also offers the ability to rank alternates. The final course selection step is to post your choices. The post button is at the bottom of the selection screen.

As of the 2019-2020 school year, there is a new system for handling student passwords. Previously, students set their own passwords for Aspen and Google, and they had static trivial passwords for AD, the desktop computer login. Moving forward, the tech department will be generating “good” passwords in Aspen, and then applying those passwords to AD and Google. The goal here is to reduce the amount of classroom time lost to password resets and other password confusion, while still affording the students privacy. Students should have the same password automatically set for Aspen, Google (Drive, Chromebooks, Classroom, etc.), and for desktop computer logins within the district. Most other district applications will allow students to use their Google login as a pass through login for access, so if they’re logged into Google, they’ll typically be allowed to pass across to any application allowing Google credentials. Please let the Tech Department know if you have any questions about this new procedure.

Aspen tallies all student absences and tardies, so students can easily see if they are violating the attendance policy and thus in danger of receiving E grades. Class attendance is probably more useful to check, but here is how to check either class or daily attendance. You do not need to wait for a paper report card to see your “report card” grades. To check your transcript grades, which include what is published on report cards and official progress reports, you can log into Aspen and go to “My Info” top tab and “Transcripts” side tab. Grades displayed on your transcript in Aspen are official and current, so they supersede paper report cards, which are a snapshot of grades taken at a particular time. See image below displaying “My Info” and “Transcripts” area of Aspen: To see your running averages during a term, just go to “Academics” top tab and “Classes” side tab to see your “Term Performance” average for any current class. Be aware that this running average will only include assignments entered into Aspen and made public by instructors, so there may be some lag between assignment completion and current averages displayed in Aspen. If ever in doubt about a grade, please check with your instructor!

You can run a report to help determine if any of your assigned students are in danger of failing any of their classes. The image below shows where to find the report. When you run it, choose the High School Grade Scale and change any appropriate options for your situation.

To enter class attendance in Aspen:

If you have the proper permissions and school view, you should be able to take attendance for a class you’re covering right in Aspen. Make sure you change your view to school view, then go to “Attendance” top tab, “Class Roster” side tab, and then select the appropriate class section. See image:

If you do not see any classes in your Aspen Gradebook, this usually means that you are outside the date range of when a class takes place. Be sure to change your filter in your Gradebook to be “this year’s classes” if you wish to see all classes taking place during a school year, as opposed to just seeing classes currently taking place. This is especially relevant when posting grades for classes that have ended prior to the current term (ex. posting Q1 grades during Q2 for course sections that ended before Q2 began), or when trying to view scheduled classes before the school year begins.
